An in-office hosted community fair screening event with other local vendors. This event welcomes all community members. The objective is to schedule new patients during the event through required screenings that help raise money for your philanthropic charity.

- PICK THE DATE AND THEME
- ASSIGN TEAM MEMBER ROLES – Make sure everyone knows their responsibilities.
- DETERMINE VENDORS – Choose vendors that are geared to the theme of the event.
- START PROMOTING – Internal flyers, Facebook, Facebook Events, Word of Mouth, Posters, Emails, and Text Reminders.
- REVIEW NEEDED SUPPLIES – Office decorations, tables, chairs, tents, table clothes, extension cords, tickets, etc.
- VENDOR CHECK INS – Confirm date, time, and check in on your vendors several times leading up to the event. Encourage them to spread the word about the event!

See video for full details. During the event your goal is to screen and schedule AS MANY people as possible.
· Make sure staff arrives early enough for proper set up and to welcome your vendors
· Vendors should be there 60-75 minutes in advance
· Take several pictures of vendors and guests having fun
· Staff Dress alike to keep identifying a “guide” easy
· Your booth should be the first one they see!
· WELCOME everyone as they come in, hand them their goodie bag, and direct them to visit your booth first for their screening!
· Start by handing them the screening survey and then follow the screening process as laid out in the External Outreach Training section.
POST EVENT #
· Post a thank you message on your Facebook event and business page with images.
· Ask vendors to post a thank you message and share pictures with them
· Drop a personalized thank you card off to each vendor!
· Highlight and share how much was raised for your local philanthropic, make it a big deal! Share photos! Ask your local philanthropic charity to share as well!
· Check if any of the vendors would be a good fit for your next scheduled vendor event and ask if they would like to secure their spot.
· Follow up with any unscheduled new patient leads from the event. Make sure to reach out personally, and if you don’t hear back make a second attempt 24-48 hours after the first! Follow up is KEY!
